Sports Field EGM Minutes

18/4/2024

7:30 pm at Lydford Sports Field

Present:

Mike Crocker, Jonathan Gilpin, Richard Hollingsworth, Sarah Jordan, Hannah Braithewaite Smith

  1. Apologies: None
  2. Maintenance: 

1. Mower broke down so have been using a commercial mower service which has worked out pretty well

2. Garage door key lock needs replacing or need key fixing, Hannah has tried to get key fixed and its not viable way forward so need to replace lock.

3. Feedback that Kelly Greene would like a grill or induction hob for cooking bacon more easily, have been discussing kitchen upgrade.

3. Membership

JG Found old constitution and would like to increase committee membership, also need to evaluate if it should be modified to reflect modern times etc.. have asked for representatives from:

a:) Lydford School 

b:) Nicholls Hall

c:) Lydford Foxes

Should we allow committee members to live outside of Lydford or at least a percentage of them? Suggested this could be discussed at AGM.

3. Treasurers Report

Accounts are healthy..  Richard asked about income, which is mainly from Lydford Fair, rental of pavilion and sports field for private events.

4. Elections

New Treasurer:

Sarah Jordan is stepping down as treasurer due to lack of time; has done a great job of looking after the accounts for the last few years. Richard Hollingsworth has volunteered to take over. Elected into position by all present.  A big thank you to Sarah and welcome to Richard.

5. Items to discuss:

Track Surface:

JG will ask someone to use his digger to fill in all pot holes with the stone pile in the car park before next meeting. Digger provided for free, labour will be paid for.

Playground:

Discussion on wether Sports Field committee would like to take on management of the Playground after Parish Council asked if this was likely. It was raised that as the Sportsfield is not a ‘governing body’ there may be legal difficulties with this. Also it was felt the Parish Council is the more suitable body to continue managing the playground equipment by the majority of those present.

Dog Poo Bin:

The Castle Inn have kindly donated a dog poo bin to be situated on the fence at the car park. This will hopefully reduce dog poo on the playing fields. The Sportsfield committee will donate a dog poo bag dispenser to go alongside it.

Rugby Post:

Jonathan will organise the removal/taking down of the Rugby Post on the sports field.

AGM will be held on the 6th June 2024 at 19:30 at the Sports Field Pavilion
